Universal Content Management 7.5 lets users view metadata in context

Stellent on Tuesday rolled out a new version of its Universal Content Management platform along with an update to its Stellent Sarbanes-Oxley Solution.

Stellent Universal Content Management 7.5 adds a new feature designed to let users view metadata fields in context and control metadata based on user roles and document status. Letting users see only the metadata that applies to their business roles can boost content management ease of use and end-user adoption, according to Stellent officials.

The new feature essentially is a metadata personalization engine, according to Dan Ryan, executive vice president of marketing and business development at Stellent.

“Any user when searching content [in] the workflow, can see a personalized view of metadata based on who they are and business rules. Their view of [the] metadata will be unique to them,” Ryan said.

Also new in Version 7.5 are modules for digital asset management and e-mail management.  The digital asset management module converts image files from a single source into a variety of formats, such as GIF and TIFF. The e-mail management module lets users drag and drop e-mail messages and attachments from their e-mail system into the Stellent server. Furthermore, Stellent folders automatically appear in the e-mail client without the need for client software.

Also released Tuesday, the Stellent Sarbanes-Oxley Solution 7.5 aims to help companies streamline business processes for compliance with the Sarbanes-Oxley Act. The updated version improves ease of use, implementation speed, and reporting capabilities, Stellent officials said.

Stellent worked with audit and consulting firm Protiviti to develop the new features.

Version 7.5 of the Sarbanes-Oxley Solution lets users define controls and processes once and then copy and paste them into other areas of the organization as needed. This feature is designed to make it easier to implement business processes across an enterprise’s multiple locations or departments, according to Stellent. Furthermore, predefined templates for processes, risk, and control help maintain consistency.

Ease-of-use enhancements include a context-specific search feature, which presents fields relevant to content type; and a risk-control matrix navigation that lets users see how different risks, controls, and processes interrelate.
